Can AI Answer Phone Calls? What UK Businesses Need to Know
AI can answer calls, take messages and book appointments. Here's what else it does well, where it falls short, and when a human receptionist is the better choice.

Yes, AI can answer phone calls. AI receptionists can pick up around the clock, take messages, answer common questions, book appointments and transfer callers.
But most callers still want a person. 83% of UK consumers prefer to speak to a real person, and only 4% prefer a virtual agent or chatbot (8x8). About half do not want AI involved at all in emergencies, complex problems or financial discussions (MaxContact, 2026).
For businesses where each call could be a high-value client, such as solicitors, estate agents and accountants, a virtual receptionist answering service provides the best of both worlds, giving callers 24/7 access to a human receptionist.
What AI call answering can do
Modern AI receptionists use speech recognition and large language models to hold a spoken conversation. They are good at predictable, repeatable calls. According to Fasthosts, today's AI receptionists can:
- Answer calls 24/7, including several calls at once
- Take messages and collect caller details
- Answer frequently asked questions, often using your website as a knowledge base
- Book appointments and sync with calendars and CRM systems
- Qualify leads and transfer calls to the right person
- Send SMS follow-ups and email call summaries
AI is also becoming familiar to callers. Ofcom found that 53% of UK adult internet users used a generative AI tool or an AI customer service chatbot in the past year (Ofcom, 2026).
What AI call answering costs
| Option | Typical UK cost |
|---|---|
| Basic-level AI receptionist | £30 - £100 a month |
| Advanced AI receptionist (booking, integrations, high volume) | £100 - £500 a month |
| Custom or enterprise AI build | £500 - £4,000+ set-up, plus monthly fees |

Where AI falls short, and why callers still want a person
AI can answer predictable calls relatively well. However, the calls that matter most to a small business are often the unpredictable ones: a worried client, a complicated question, or a new enquiry worth thousands of pounds. AI does not answer these calls to the same level that a human receptionist would.
Most UK callers prefer a person
In 8x8's UK research, 83% of consumers said they prefer to speak to a real person. For urgent issues, support for human contact was at least 76% in every UK region (8x8). So while AI can answer calls, bear in mind that this is not always what customers want.
Some calls should not involve AI at all
MaxContact surveyed more than 1,000 UK consumers for its 2026 Voice of the UK Consumer report. It found the share of people who want no AI involvement in these situations:
| Situation | Callers who want no AI involved |
|---|---|
| Emergencies | 54% |
| Complex account problems | 50% |
| Financial discussions | 49% |
| Negotiating terms | 46% |

Empathy, judgement and trust
Ofcom's 2026 research found that criticism of AI call answering centres around a lack of empathy and human touch, while many participants also preferred to negotiate with a person (Ofcom).
Trust matters too. 88% of UK consumers say it is important to be told when they are talking to AI (MaxContact). A caller who feels misled is unlikely to become a client.
The cost of getting it wrong
A badly handled call can lose the business entirely. 54% of people will not leave a voicemail if they cannot get through, and 38% would go elsewhere after a poor phone call (Legal Futures, 2024). A caller who does not get a satisfying answer from an automated system can just as easily ring the next firm on the list.
AI vs human call answering: how they compare
AI is cheaper and can offer good value for simple, repetitive calls. A human answering service wins when a call needs judgement, reassurance or a strong first impression.
| Comparison | AI call answering | Human answering service |
|---|---|---|
| Typical cost | From £30 a month | From £75 a month (excl. VAT) for 30 calls with Pocket Receptionist |
| Best for | High volumes of simple, predictable calls | New enquiries, sensitive or complex calls |
| Opening hours, FAQs and bookings | Handles well | Handles well |
| Unscripted questions | Can misunderstand or give a generic answer | Adapts and asks follow-up questions |
| Distressed or anxious callers | Limited empathy | Listens, reassures and takes clear notes |
| Caller preference | 4% of UK consumers prefer a virtual agent | 83% prefer a real person |
| First impression for high-value clients | Can feel automated | Feels like part of your team |
Sectors where a human answer matters most
In some professions, the first phone call decides whether a client instructs you. These sectors deal with high-value, personal or sensitive matters, which are exactly the situations where UK callers say they want a person.
Solicitors and law firms
People often call a solicitor at a stressful moment: a divorce, a house purchase, a dispute or an arrest. They want to feel heard. A trained receptionist can calm an anxious caller, take an accurate account of the matter, and recognise when a call is urgent and needs to reach a fee earner straight away. AI can take these calls, but is more likely to miss the emotional cues and the urgency.
Estate agents
A vendor deciding which agent to instruct is trusting you with what may be their largest asset. A buyer ringing about a viewing may be ready to offer. These callers expect a knowledgeable, personable response that reflects your brand. A human receptionist can build rapport, book valuations and viewings, and pass on a hot lead with the context your negotiator needs. AI can answer these calls, but the knowledge gap will likely be visible.
Accountants and financial advisers
Financial discussions are one of the situations where UK callers want to avoid AI the most: 49% want no AI involvement (MaxContact, 2026). When clients ring with questions about tax bills, deadlines and their personal finances, a human can reassure them, take the right details and make sure nothing is lost during busy periods such as the run-up to the 31 January Self Assessment deadline.
Where AI can fit
AI suits businesses whose calls are mostly simple and repetitive, such as confirming opening hours or rebooking appointments. Even then, callers should be able to reach a person when they need one. As Ofcom put it, firms should make sure human support remains available when customers need it.
